Make approval refer to a version

An approval such as “clip B, English export v04, copy v02, agreed account and release time” is more useful than an isolated positive reaction.

A filename containing “final” is not enough. After revisions, several files may carry that word while containing different statements.

Keep the approval beside the content identifier. The publisher should be able to determine whether anything changed afterward.

Resolve uncertainties before scheduling

Resolve these questions before scheduling:

  • Missing decisions: Confirm missing account handles, ambiguous file versions and factual statements that still need an expert's review. Identify who is responsible for those decisions.
  • Currency: Check whether the content will remain current at the scheduled time. An offer, event or availability statement can change between approval and release.
  • Usage approvals: If the video includes third-party material, keep the relevant usage decisions with the production record. The person uploading should not have to infer them from the presence of a file.

Handle post-approval changes explicitly

Handle a post-approval revision in this order:

Describe the revision

Describe what changed and decide which review needs repeating. A small wording edit can alter a claim; a new cut can affect captions and context.

Update the version

Assign a new version and update the handoff. Inspect existing scheduled entries separately. Replacing a file in a shared folder does not automatically prove the publishing queue changed with it.

Assign the decision

For urgent revisions, name the person authorized to decide. Avoid leaving both the old and replacement publication active while the team debates which should appear.

The record then identifies which version is intended to appear.

Reconcile the queue with the handoff

Compare file count, individual revisions, text, accounts and complete times. Check that any manual final steps have an owner.

Consider this fictional example. A training company delivers three clips for a course launch. Clip A introduces the course, clip B answers a common question and clip C explains the booking offer. All three exports share a folder, but they do not share an approval state.

Clip A has approved English copy, while the second language still contains an unconfirmed course name. Clip B is ready for both destinations listed in its brief. Clip C needs confirmation that its offer remains valid on the intended release date.

A useful handoff records those differences. B can proceed under the agreed instructions. The incomplete language version of A remains open. C needs a factual decision. Calling the folder “approved launch assets” would conceal the information the publisher needs most.

Also decide whether paired language versions depend on one another. A coordinated announcement may need both versions ready before either appears. An evergreen explanation may allow independent release. The publisher should not have to choose that policy while entering dates.

Review language pairs as separate deliverables

Give each language version its own file and copy reference. Compare the checkable facts across versions: product names, dates, quoted terms, limitations and the action viewers are invited to take.

The wording and examples can differ to suit their audiences. The underlying offer should remain consistent unless a market-specific difference is intentional and documented.

Review the actual export, not just the script. A correct translation can still accompany the wrong cut, an older subtitle track or an outdated ending. Check the opening, main claim and final action against the approved record.

Approval should identify who reviewed each language. If one person checked only the English version, that does not establish review of the other version. Linguistic review and subject-matter review can have different owners, provided their responsibilities are clear.

Turn missing information into an answerable request

Name the missing decision precisely. “Please complete the handoff” leaves the recipient to discover the problem. “Clip C needs confirmation of the offer end date” makes the next action clear.

Group related questions and reference the content IDs. Once answers arrive, update the handoff record so the publisher does not need to search an additional message thread.

An approaching deadline creates a scheduling decision. The team can postpone the item, use an already approved alternative or proceed after the outstanding review. Urgency alone does not resolve an uncertain factual statement.

If only one destination is affected, record that scope. Avoid blocking unrelated approved jobs unless the campaign depends on a coordinated release. Equally, avoid publishing one part of a linked announcement without an explicit decision.

Keep the template small enough to use

Every field should help someone make a decision or avoid a specific mistake. Adding more fields does not improve a handoff if the approved file revision remains ambiguous.

Stable information, such as account handles and contact people, can live in a client reference sheet. Review that sheet when a new campaign starts, and bring relevant changes into the current assignment.

Ask the receiving person to describe the publications they intend to create from the package. This short read-back can expose different interpretations of timing, language or destination before work enters a publishing queue.

After a campaign, review the questions that still required separate messages. Improve the template around those recurring gaps. Remove fields nobody used, and preserve the few details that prevented an actual mistake.
